    Share and sync – OneDrive (Personal)

    Share files or photos with a link

    1. Select the files or photos you want to share, and then select Share Share .
    2. Select Allow editing to give permission to edit the files.Uncheck Allow editing to give permission to view, but not edit the files.
    3. Select Get a link.
    4. Select Copy.
    5. Select More to see your social media options.

    Share files or photos in email

    1. Select the files or photos you want to share, and then select Share Share .
    2. Choose if you want to allow Allow editing.
    3. Select Email.
    4. Enter the email addresses of the people you’d like to share with and add an optional message.
    5. Select Share.Everyone you share with will receive an email.

    Share a folder

    1. Select the folder you want to share, and then select Share Share .
    2. Choose if you want to allow Allow editing.
    3. Select Get a link or Email and follow the steps above.

    Change permissions

    1. Select Shared.
    2. Select a folder or file, and then select the Information icon.
    3. Do one of the following:
      • Select Add People to share with more people.
      • Select Manage access to change permissions.Select the Can Edit or Can View drop-down to change permissions or Stop Sharing.
      • Select the X to remove the link.

    Sync OneDrive to your computer

    1. Select Start, type OneDrive, and then select the OneDrive desktop app.
    2. Sign in to OneDrive with the account you want to sync and finish setting up.Your OneDrive files will start syncing to your computer.

    Work with your files in your file system

    Once you’re synced, you’ll see your files in File Explorer. On a Mac, your files will appear under OneDrive in the Mac Finder.

    If you use more than one account, your personal files appear under OneDrive – Personal and your work or school files appear under OneDrive – CompanyName.

    You can copy or move files from your computer to OneDrive right from your file system.

    You can also click the OneDrive cloud icon in the Windows notification area to check status on your files. Click the Settings gear to add an account, or manage other sync settings.

    With OneDrive Files On-Demand, you can get to all your files in OneDrive or SharePoint Online, without having to download them and use storage space on your device.

    Note: With Windows 10 version 1809 and later, Storage Sense is available to automatically free up disk space by making older, unused, locally available OneDrive files be available online-only. See more of turning on and using Storage Sense for Windows 10.

    Turn on Files On-Demand in OneDrive

    1. Select the white or blue OneDrive cloud icon in the Windows notification area.OneDrive SyncClient with blue cloud and white cloud icons

      Note: If you’re on Windows 10, your computer already has the OneDrive desktop app on it, but you’ll need to turn on Files On-Demand in OneDrive settings.

    2. Select Settings OneDrive settings with gear icon .
    3. Select Settings > Save space and download files as you use them.

    Work with files in Files On-Demand

    When Files On-Demand is on, you’ll see new status icons next to each of your SharePoint files. You can now copy or move files from your computer to SharePoint Online right from your file system.

    These files are only available when you’re connected to the Internet, but don’t take up space on your computer.

    You can open a locally available file at anytime even without Internet access.

    • Right-click it and select Always keep on this device.

    To change a file back to an online-only file:

    • Right-click it and select Free up space.

    1. In the OneDrive app, tap Scan Icon for Scan in OneDrive mobile apps .
    2. Select Document and tap the white circle icon to scan the item.

    Tip: Office 365 subscribers have the option for multi-page scanning, allowing you to combine multiple scans into a single PDF. To utilize that option, tap Add, then scan your next document.

     

    • To sign or draw on the image, select the Pen icon and choose a color. (If you don’t like the image, tap the left arrow icon in the upper left to delete the scan and try again.)
    • Once you’re done editing your item, tap Done (or the checkmark on Android devices), enter a file name, then tap Save (or the checkmark on Android devices).

    • Find the doc on your OneDrive (you may be prompted to share the latest scan) and tap the three dots to open a menu to share.
